\Communicating with your members at key moments in their user journey is essential. The VdApp Platform offers two distinct ways to handle emails: using our built-in VidApp Transactional Emails or setting up an External Email Integration (e.g., Mailchimp, Klaviyo). Alternatively, you can use a hybrid approach. For example, you'll send the welcome or "subscribed" email from a third party tool and the cancellation or change subscription could come from VidApp.
This guide explains how each method works and how to set them up.
1. VidApp Transactional Emails
These are automated system emails sent directly from the VidApp Platform. They are designed to notify users about account and billing actions.
Available Email Types:
Member Creation: Sent when a new user creates an account.
Subscribed: Sent after a user successfully purchases a subscription.
Change Subscription: Sent when a user upgrades or downgrades their plan.
Cancel Subscription: Sent when a subscription is cancelled.
Annual Subscription Reminder: Sent as a renewal reminder for yearly plans.
Reset Password: Sent when a user requests a password reset.
How to Enable and Customize
By default, all emails are toggled OFF. This prevents your users from receiving duplicate emails if you are already sending similar notifications through another system (like Stripe or a separate marketing tool).
To start using VidApp emails:
Go to Web App > Emails in the Builder.
You can upload your own header logo and edit the text for both the Email Subject and the Body copy to match your brand voice.
Switch on the specific emails you wish to send.
You must click Publish for these changes to take effect.
Note: Once an email is toggled ON and the Builder is published, the email will be sent automatically the moment the specific user action occurs (e.g., the "Member Creation" email fires immediately after sign-up).
By default, the emails will be sent from no-reply@vidapp.com. You can change this by following this guide.
2. External Email Integrations (Third-Party Tools)
If you use a dedicated marketing platform like Mailchimp, Klaviyo, or ActiveCampaign, we can integrate your app to sync user data directly to your email lists. However, the data we pass on to these tools may be limited.
Note: We will need access to your emailing tool to set this up for you.
How to Set Up Integration
This feature requires manual configuration by the VidApp team. To request this setup, please contact us with:
The name of your mailing provider.
Admin access to your mailing provider account (we require this to configure integration).
Please note: We support most well-established mailing providers. Although some providers may not be supported.
How the Data Syncs
Once integrated, we manage your members by moving them through three specific segments in your email tool, based on their actions:
1. Created Account
Trigger: A user signs up for an account but has not purchased a subscription yet.
Action: They are added to the "Created Account" segment/tag in your email tool.
2. Subscribed
Trigger: The user completes the checkout process and successfully starts a subscription.
Action: They are added to the "Subscribed" segment and removed from the "Created Account" segment.
Note: This applies to all subscribers, regardless of whether they are in a Free Trial or are fully Paid.
3. Cancelled
Trigger: A subscribed member has canceled their plan and no longer have access to your service.
Action: They are added to the "Cancelled" segment and removed from the "Subscribed" segment.
